Data handling briefing

Who we are

The controller of personal data on this website is Vaulthopperradarsr Route Media Ltd, Company No. 14829307, registered at Unit 4, Riverside Works, Mintsfeet Road South, Kendal LA9 6ND, United Kingdom. Contact: [email protected].

What we collect

• Server logs: our hosting provider records technical data such as IP address, browser type, requested pages and time of request, to deliver and secure the site.
• Emails you send us: your name, email address and the content of your message, including road observations.

The fuel worksheet and the observation builder run entirely in your browser. What you enter there is not transmitted to us unless you choose to email it.

Why and on what basis

We process server logs on the basis of our legitimate interest in running a secure website. We process emails on the basis of our legitimate interest in responding to you and keeping our briefings accurate. We do not sell personal data and do not use it for advertising.

Retention

Server logs are kept for up to 30 days unless needed to investigate a security incident. Correspondence is kept for up to 24 months, then deleted. If we quote a road observation in a briefing, we do so without your name unless you agree otherwise.

Sharing

We share data only with service providers who host the site and our email, under contracts that require them to protect it, or where the law requires disclosure. Where providers process data outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses.

Your rights

Under UK GDPR you may request access to, correction or deletion of your personal data, object to or restrict processing, and request portability. Email us to exercise these rights. You may also complain to the Information Commissioner's Office at ico.org.uk.
